Reading every school email is a job

Last year I missed a year of school stuff. The information arrived in daily digests, repeated three times, with the important details buried inside flyer images. Dress up days, book distribution, early dismissals. I could never tell which emails needed something from me and which were just noise, so all of it sat in my head as one low hum of maybe I am forgetting something.

The dates that get missed are the ones that only exist in the flyer. The email text says spirit week. The flyer says which day is pajama day. The flyer is a picture, and pictures are where school information goes to hide.

I built the system I needed. Share the email, see each item once, decide, done. The dates live on the calendar now. They stopped living in my head.

Where this comes from

In a restaurant, no order rides on someone's memory. Every order becomes a ticket, every ticket gets worked once, and the board shows what is handled and what is not. School Mail Triage gives every school email the same treatment: one ticket, one pass, one decision per item.

The email, the summary list, and the text inside the flyer images. An email that mentions the same event three times produces one item, once.

Each item appears with full details and three choices: calendar, reminder, or skip. Events open for review before anything saves, so your calendar only gets what you approved.

Skip is a real decision. The bake sale you are not baking for gets skipped on purpose, and you stop rereading the email wondering whether you already dealt with it.

The shortcut version needs

An iPhone with the Shortcuts app. If your iPhone has Apple Intelligence, use the Apple Intelligence build. If it does not, use the ChatGPT build instead, which needs the ChatGPT app installed and signed in. A free account works.

The Claude version needs

A Claude account and the Claude app, with your calendar connected in the app. Free accounts work. Usage limits apply, and a paid plan raises them.

One of these fits most phones. If yours fits neither, wait to buy until it does.

My school uses ParentSquare. Does this work?

Yes. The system works from the emails ParentSquare sends. The guide also includes one ParentSquare delivery setting worth changing so information reaches you with more notice.

Does it read the flyers?

Yes. Both versions read the text inside flyer images, which is where the dates that get missed tend to live.

I have Android.

The Claude version is built for you. Install the free Claude app, connect your calendar, and use the processing prompt from the guide. It reads flyers directly.

Does anything happen without my approval?

No. Every event opens for review before it saves, and every item waits for your decision.

Do I need both versions?

One is enough. The guide covers both, and you are welcome to set up both.

What about usage limits on the Claude version?

Free Claude accounts include usage limits that reset through the day. Processing a school email uses a small amount.
